Hire & Production Co-Ordinator

Reporting to: Director, Hire & Production Position: Permanent full-time

Salary £22,000 - £26,000 + OT & Bonus Principal Location: Henley-on-Thames

Henley Theatre Services is well-established in the industry and has experienced significant growth and success over the past few years and is looking to further scale its operation to better meet the complex needs of its wide and ever-growing client base, to capitalise on its unique position with the market, as a turnkey, full solution provider, servicing the performance venue and event production sectors.

This role takes a key responsibility within the hire & production team, working alongside project managers to ensure the smooth, profitable, and efficient delivery of both hire and production projects.

Acting as first point of call for all hire enquiries, working with new and existing clients from a broad range of market sectors, helping to understand and deliver their requirements in a timely and clear manner.

Specific roles and responsibilities will include but not be limited to:

- Management and co-ordination of various elements of production projects.
- Technical specification of hire and production projects.
- Scheduling on-site activities for full-time and freelance workers.
- Taking a lead role in on-site delivery and execution for production projects where required. Working under the project manager to ensure the clients requirements are met and understood by the on-site team.

- Developing and maintaining key client relationships to further build the companies well established reputation as a specialist contractor to the theatre and touring market.

- Developing sales opportunities within and outside of the companies established network

- Co-ordination of cross hire equipment from suppliers, ensuring efficiency and probability

- Managing equipment shortages for specified hire and production projects.
- Dealing with missing / damaged equipment and reporting / invoicing accordingly.
- On-site co-ordination of production projects, maintaining schedules to enable work from full time and freelance workers to be efficient and effective.
- Monitor the progress of projects and working with the project managers to ensure all drawings, specification and design works are completed and approved in advance of on-site delivery.
- Participate in the selection of full time and freelance production crew with experience appropriate to the work.

- Liaising with the warehouse & operations team to ensure equipment is prepped and delivered to in accordance with the client’s requirements and arrives / is ready at the times required.

- Working as a member of the on-site team to build, break and support production projects.

- Working with the warehouse team as required for pre-production and de-prep.
- Assisting the warehouse team to load and unload vehicles as required.
- Acting as ambassador for the company, ensuring professionalism, corporate image and health & safety standards are upheld onsite and in pre/post-production stages.
- Keeping job files for each project updated throughout the project lifecycle and clients updated with any changes.
- Reporting on hire and production activities to the Director of Hire & Production, keeping them up to date with feedback from clients, staff and freelancers be it positive or negative.

- Provide feedback to Directors of any areas of improvement, development or growth of the business identified. Take a role within the team in problem solving and contribute to team & business improvement.

Skills Required

- Good communication / interpersonal skills.
- Good organisational skills with the ability to co-ordinate co-workers both junior and senior.
- Commercial acumen, a good understanding of profitability, margin protection, cost control.
- Good working knowledge of sound, lighting, rigging, staging, power and video.
- Excellent IT skills. A working knowledge of CAD would be advantageous.
- Proactive, self-motivated, capable of working on their own initiative in a constantly changing and pressurised environment within a fast developing company
- Full driving licence and own transport
